FREQUENTLY ASKED QUESTIONS
WHO SHOULD SUBMIT AN APPLICATION FOR A BACKGROUND CHECK?
Anyone wanting to come on the school grounds should apply for clearance. This includes parents, grandparents, & community members. Don’t forget about relatives who may be out of town but will come to visit and want to have lunch with your child. Have them fill out the form now.
WHY DO I NEED TO SUBMIT THIS FORM?*
The county requires that you submit an application for an official background check conducted by the St. Johns County Sheriff’s Office and the National Sexual Offenders Database. If you do not submit this form for clearance, you will be denied admittance to the school for the protection and safety of our children.
HOW LONG DOES THE APPLICATION PROCESS TAKE?
Completing the application and submitting it for review takes less than five minutes. Once submitted, the application can take up to four weeks to be approved/cleared. For this reason, we recommend all parents and family members who anticipate wanting to participate in events on campus complete an application as early as possible.
WHAT INFORMATION DO I NEED TO HAVE TO APPLY?
All forms must contain your full legal name including middle name (no nicknames), address, phone, gender, birthdate, and social security number. If you do not have a middle name, please enter “NMN” in the Middle Name field in the application. If you are here on a visa and/or you do not have a social security number, please contact the St Johns County School District Volunteer Services at 904-547-3945 for further instructions.
HOW WILL I KNOW IF I AM APPROVED?
If you have a time-sensitive situation (an upcoming field trip, school activity, etc), you may contact the Volunteer Coordinator two weeks after you have submitted your application. She will be able to give you an update at that time. Otherwise, you will know the status of your application upon arrival and check-in at the school. The average time for an application to be approved is four to six weeks, so please plan accordingly.
IF I COMPLETED THIS PROCESS, WHAT DO I NEED TO BRING TO SCHOOL TO CHECK IN?
Every person arriving on campus should present a photo ID with a name that matches the name that was submitted on the Volunteer Application through the county. Approved forms of identification are government issued photo ID, Drivers License or valid passport.
If you are a legal citizen of the United States and you do not have a driver’s license, you should contact your local DMV to secure one in advance of coming to school.
Upon check in, you will be given an authorized volunteer sticker that you must wear in a visible location on your person the entire time you are on campus. If you do not have a visible sticker, you may be asked to return to the front office to check-in and receive one.
DID I ALREADY DO THIS?
Your background check is active for 3 years. If you are unsure of whether or not you have a valid background check on file, please contact the Volunteer Coordinator via email to check the system prior to submitting another application.
If you have done this for another St. Johns County school within the last 3 years, you do NOT need to resubmit.
St. John’s County requires all volunteers and visitors to complete a background screening. If you are new to the county you will need to complete an online application.

Box Tops are each worth 10¢ for your school.
HOW DOES CASH GET TO YOUR SCHOOL?
Your school’s Box Tops Coordinator will collect all the Box Tops and send them in so your school can get cash.
Scholastic Book Fair
October 28th – November 1st
Book Fairs – Volunteers needed to work the book fair. The book fair is held in the spring and the fall.
Eight Grade Celebration – Volunteers are needed for this celebration…Opportunities include: chaperoning, decorating, and any additional help that is needed for this event.
FSA and EOC Proctors – Volunteers are needed in the classrooms during this time to be test proctors.
School Dances – GRMS needs volunteers for several dances held throughout the year. Opportunities include: selling tickets, chaperoning, decorating, and working concessions.
Staff Barista/Luncheons – Food, decoration and other donations are requested at various times throughout the year to honor our staff. Sometimes additional help is needed during the events.
Teacher Appreciation – Food and other donations are requested at various times throughout the year to honor our teachers.
